Step 1 — Make Sure You Have These

- A transcript of your voice memo or a written brain dump
Capture the brain dump
Record a voice memo in the tool you already use, then copy its transcript. If your recorder does not make a transcript, type or paste a rough version yourself. It does not need to be tidy.
Before sharing it, remove client names, access instructions, payment details, or other information that does not belong in the chat. Replace necessary names with labels such as [OAK STREET PROJECT]. Keep uncertain dates and responsibilities uncertain; the next step will separate them from confirmed facts.
Build the first task list
Open claude.ai, start a new chat, and paste this prompt with the cleaned transcript.
Turn my transcript into a practical to-do list using only what I said. Do not invent deadlines, owners, priorities, project details, or missing tasks. If something sounds like a possible task but is unclear, put it under “Questions for me” rather than deciding for me.
For each confirmed task, include only details stated in the transcript:
- Action
- Project or category
- Due date, if stated
- Person responsible, if stated
- Notes or dependencies, if stated
Group the tasks by project or category. Keep “Questions for me” separate at the end.

Move the list into your system
Review the transcript beside the organized list. Check that each task came from something you said, names and projects were matched correctly, and no uncertain date became a firm deadline.
Then copy the approved tasks into the notebook, calendar, or task tool you already use. Restore private details only where they are needed and safe. Keep the questions visible so they do not quietly become false assumptions.
